Instagram Auto Reply: How to Set It Up and Where It Stops

Instagram Auto Reply: How to Set It Up and Where It Stops

Yes, you can set an automatic reply on Instagram. If you run a business account, Meta's own tools let you send an instant reply to new messages and an away message when you are out of the office. They are free, and you can switch them on in a few minutes. They are also basic. They send a fixed message and then stop. Every enquiry still waits for a human to qualify it, book it and chase it.

This guide covers both sides. You will see how to set up, edit and turn off Instagram auto replies. You will see how quick replies, instant replies and message automation differ, and how WhatsApp Business fits in. And you will see what to do when a one-line auto reply is no longer enough for your service business.

TL;DR

  • Instagram professional accounts can send an Instant Reply and an Away Message through Meta Business Suite, so a first response goes out even when you are busy.
  • Quick replies (saved replies) are different: you trigger them yourself to save typing. Auto replies fire without you.
  • You can edit or turn off auto replies in the Meta Business Suite Inbox under Automations, or from your Instagram professional tools.
  • WhatsApp Business has its own away, greeting and quick reply tools, and a fast first response makes a sale more likely.
  • A fixed auto reply does not qualify leads, book appointments or follow up. That is where a conversational AI receptionist takes over.

What an Instagram auto reply actually does

An Instagram auto reply is a message sent automatically when someone messages your business account. Meta provides native automation tools for professional accounts, including Instant Replies and Away Messages, through Meta Business Suite.

In practice that gives you two jobs:

  • Instant reply: a short acknowledgement the moment a new message lands. Think of it as a receptionist saying "hello, we have your message."
  • Away message: a reply that tells people you are closed or unavailable, and when you will be back.

That is the whole feature. It does not understand what the person wrote. A customer asking "Can you fit me in on Saturday?" gets the same message as someone asking for your address.

For a dog groomer, a tree surgeon or a salon, that first acknowledgement is useful. It tells the customer they have not been ignored. But a message that says "we will get back to you" is only a holding line. If the answer takes until tomorrow, the customer may already have messaged someone else.

Auto replies, quick replies and automation: the difference

These three terms get mixed up. They are different tools.

ToolWho triggers itWhat it doesBest for
Auto reply (instant or away)The platform, automaticallySends one fixed message to new or out-of-hours messagesAcknowledging enquiries, stating opening hours
Quick replies (saved replies)You, manuallyInserts a saved block of text into a chatAnswering the same questions faster
Message automationRules or AIResponds based on keywords or intent, and may run several stepsQualifying, routing and booking

Quick replies save you typing, but you still have to be at your phone. If a customer messages at 9pm, nothing happens until you open the app.

Keyword automation goes a step further. Many third-party tools reply when a message contains a chosen word, such as "price" or "quote". It is more flexible than a fixed reply, but you have to build and maintain every rule yourself.

Conversational AI is the next level. It reads the message, answers in natural language, asks the right follow-up questions and moves the customer towards a booking. We come back to this below.

How to set up an Instagram auto reply

Meta moves its menus around, so labels may differ slightly on your screen. The routes below are the ones that are currently described in published guides.

Option 1: Meta Business Suite on desktop

  1. Make sure your Instagram account is a professional (business or creator) account and is connected to your Facebook Page.
  2. Open Meta Business Suite and go to Inbox.
  3. Choose Automations.
  4. Pick Instant reply or Away message.
  5. Write your message, check the settings, and turn it on.

Option 2: The Instagram app

One published guide describes the mobile route as profile, then Professional dashboard, then Message tools, then Instant reply. You edit the message there, turn on the toggle and save it. The tool may show as an icon or sit under a menu, depending on your app version.

What to write

Keep it short and make it useful. A good first reply does three things: confirms you have the message, says when a person will respond, and offers one next step.

Here are examples you can adapt:

  • Salon or gym: "Thanks for messaging us! We reply within the hour during opening hours (9am to 6pm, Monday to Saturday). To book now, use the link in our bio."
  • Tree surgeon or roofer: "Thanks for getting in touch. To give you a quote, please send your postcode and a photo of the job. We will come back to you today."
  • Estate or letting agent: "Thanks for your enquiry. Are you looking to buy, rent or sell? Reply with one word and we will point you to the right person."
  • Away message: "We are closed right now but your message is safe. We reopen at 8am tomorrow and will reply first thing."

Avoid long paragraphs, avoid promising a timeframe you cannot keep, and avoid pretending a person wrote it if a system did.

How to edit or turn off an Instagram auto reply

If an old message is still going out, or you want to pause it for the bank holiday, the fix is quick.

  • In Meta Business Suite: you can edit or turn off auto replies in the Inbox under Automations.
  • In the Instagram app: you can delete saved replies or turn off the Welcome message from there, according to the same guide.
  • From Message tools: open the same Instant reply screen you used to create it, change the text, or switch the toggle off and save.

Two habits save embarrassment. First, review your away message whenever your opening hours change, because an out-of-date message does more harm than none. Second, test it. Message your own business account from a personal profile and see what a customer sees.

What about WhatsApp Business?

Many UK service businesses get as many enquiries on WhatsApp as on Instagram, so it is worth setting both up together. The WhatsApp Business app has its own set of tools: an away message, a greeting message and quick replies. Labels and menu locations can change, so check them in your app's settings.

The principle is the same as on Instagram. WhatsApp's own business guidance says that responding quickly, or automating the first reply, increases the chances that a conversation turns into a sale.

The difference between the two WhatsApp tools matters:

  • Automatic messages (greeting and away) go out without you doing anything.
  • Quick replies are shortcuts you trigger yourself, typically by typing a short command, to insert a saved answer such as your price list or address.

Use both. Let the automatic message acknowledge the customer, then use quick replies to answer the common questions in seconds once you are at your phone.

Where native auto replies stop working for you

Native tools are a sensible starting point. For a busy service business, they leave four gaps.

1. They do not understand the question. The same message goes to everyone, whether they want a price, an appointment or directions.

2. They do not book anything. Customers have to wait for you, then go back and forth to agree a time. Every extra step loses some of them.

3. They do not follow up. If a lead goes quiet, nothing nudges them. Many enquiries that never become customers are simply forgotten rather than refused.

4. They live in separate inboxes. Instagram, WhatsApp, website chat, text messages and phone calls each have their own app. Messages get missed because you are checking the wrong place.

The bigger issue is the phone. A customer who finds you on Instagram may well ring you next. If you are under a car, in a treatment room or up a tree, that call goes to voicemail. An Instagram auto reply does nothing for it.

Our view: stop treating auto replies as the finish line

We build for owners who are tired of bleeding revenue from missed calls, slow replies and enquiries nobody owns. Here is how we see it.

An auto reply answers one question: "Has my message arrived?" Your customer is asking a different one: "Can this business help me, and when?" Speed matters, but only if the reply moves the conversation forward. A reply that says nothing buys you a few minutes at best.

Our view: stop treating auto replies as the finish line — overview diagram

That is why we think of the first response as the start of a process: engage, qualify, book, follow up. Each step should happen without you, in the channel the customer chose. If someone messages on Instagram at 10pm asking for a quote, the right outcome is not "we will reply tomorrow". It is a short conversation that captures the job details and offers a slot.

We also see owners lose time to DIY set-ups. They stitch together an Instagram tool, a WhatsApp tool, a call answering service and a calendar, then spend weekends fixing the gaps between them. The software is rarely the problem. The missing piece is someone to set it up properly, train it on your business and fix it when something changes. That is why guided setup and ongoing support sit at the centre of what we do, not as an add-on.

A practical checklist for your first week

Whether you stay with Meta's native tools or move to something more complete, work through this list.

  1. Switch to a professional account on Instagram and connect it to your Facebook Page so you can use the Inbox.
  2. Write one instant reply and one away message. Keep each under three sentences.
  3. Save five quick replies for your most common questions: prices, opening hours, location, how to book, what to send for a quote.
  4. Set up the same on WhatsApp Business so customers get a consistent experience.
  5. Decide who owns the inbox. If nobody checks it at 8am, an auto reply just delays the silence.
  6. Track missed enquiries for two weeks. Count calls you missed and messages you answered after more than a few hours. That number tells you what the gap is costing you.
  7. Review monthly. Update hours, prices and links.

When you need more than an auto reply

If you have run through that checklist and still lose enquiries, the issue is not the wording of your message. It is that nobody is handling the lead between the first message and the booking.

This is what Talk2Aiva is built for. It is an AI receptionist and revenue recovery system for service-based businesses. It answers calls, texts, website chat and social media messages 24/7, qualifies the lead, books appointments into your calendar, and follows up automatically. Messages land in one unified inbox, with notifications on your phone, so you stop checking five apps.

To put the numbers in context, a single missed enquiry for a roofing job, a conveyancing instruction or a dental treatment can be worth far more than the cost of a plan. If you want to see how it would work for your business, take a look at Talk2Aiva and book a conversation with our team.

Choosing the right level for your business

Not every business needs the same thing. A rough guide:

  • A sole trader with few enquiries: native Instagram and WhatsApp auto replies plus saved quick replies may be enough for now.
  • A busy local service (garage, groomer, salon, tree surgeon): the gap is usually missed calls and slow replies while you are working. You need something that answers and books for you.
  • A multi-person team or higher-value enquiries (letting agents, conveyancers, dentists, finance brokers): you need consistent qualification, calendar sync, CRM links and follow-up, so no lead depends on one person remembering.

Be honest about where you sit. If a free tool solves the problem, use it. If you are losing jobs while you work, it is time to move up.

FAQ

Can you set an automatic reply on Instagram?

Yes, if you have a professional account. Meta Business Suite offers Instant Replies and Away Messages for Instagram. You set them up in the Inbox under Automations, or through Message tools in the app. They send the same fixed message to everyone.

What is the difference between an auto reply and a quick reply?

An auto reply is sent by the platform without any action from you, usually when a new message arrives or when you are away. A quick reply is a saved snippet that you choose to insert into a conversation. Auto replies acknowledge customers while you are away. Quick replies speed up your answers once you are back.

How do I turn off an auto reply on Instagram?

Open the Meta Business Suite Inbox, go to Automations and switch off or edit the reply. In the Instagram app, you can delete saved replies or turn off the Welcome message. If you set up a reply through Message tools, switch the toggle off there and save.

Does WhatsApp Business have auto replies too?

Yes. WhatsApp Business offers away and greeting messages that send automatically, plus quick replies that you trigger yourself. WhatsApp's own guidance says that a quick first response, or an automated one, improves the chance of a conversation becoming a sale. Check your app's settings for the exact menu names.

Is an auto reply enough for a service business?

It is a good start, but it only acknowledges the message. It cannot qualify the enquiry, book a time or follow up with a lead who goes quiet. Businesses that lose work to missed calls and slow replies usually need a system that handles the whole conversation.
